St. John’s is hiring a Financial Secretary to start in June 2025! This position is available due to the upcoming retirement of our long-time financial secretary, Cindy Hemminger. The selected candidate will have the opportunity to work alongside Cindy for a transitional period before her official retirement.

JOB DESCRIPTION - FINANCIAL SECRETARY

Position Description
The Financial Secretary is responsible for performing all accounting, bookkeeping, payroll functions, financial reporting and record keeping for the congregation. The Financial Secretary prepares all financial reporting for the Congregation, the Congregation Council and Council Committees. The position also supports other administrative functions of the church as assigned. The position reports to the Congregation Treasurer and Executive Committee.
Job Responsibilities
Receipts and Disbursements:
Receives and records all sources of income to the church and posts to the General Ledger
Receives and records all member contributions and other contributions, including electronic giving
Recruits volunteers and coordinates support for money counting from worship service offerings
Coordinates and administers member contribution envelopes and envelope distribution to congregation members
Records and maintains giving records for all member contributions
Records all Investment Income from Investment sources (Banks, Financial Institutions)
Receives, records, and prepares checks for all invoices of the church
Prepares checks, records and sends all ELCA remittance contributions
Prepares checks, records and sends all benevolence contributions to designated beneficiaries
Enters all expense entries for disbursements of the church in the General Ledger Payroll
Performs all payroll functions for church employees
Prepares all employee Payroll checks, including Payroll Direct Deposits
Prepares and makes contributions to employee “pension” annuities
Prepares and files applicable IRS forms for monthly and quarterly payroll taxes and Worker’s Compensation premiums
Prepares and distributes annual W2s and 1099s
General Bookkeeping and Banking
Posts all financial transactions to the General Ledger
Prepares and posts all necessary journal entries
Performs all banking functions including deposits, withdrawals, and account reconciliations
Financial Reporting
Prepares and distributes individual member quarterly and annual contribution reports
Prepares various financial reports for the congregation committees, the church council, the Endowment Trust Fund, Inc., the church monthly newsletter, weekly worship bulletin, etc.
Other
Assists the Treasurer and the Finance & Stewardship Committee in the preparation and assembly of the Annual Congregation Budget and prepares monthly monitoring reports
Maintains all financial record files of the church – both computer electronic history and hard copy
Supports periodic financial audits by the church Audit Committee
Member of the congregation’s Finance & Stewardship Committee
Contacts families of gifts received in memory of loved ones, sends acknowledgment letters to donors
Assists in monitoring and supports the maintenance of the church website
Fills in for the Office Manager in absence
Other duties as assigned in support of the church and Office Manager
Education and/or Experience
Required Qualifications
High School Diploma or GED
Accounting/bookkeeping experience
Desired Qualifications
College degree in a related field
2 years of relevant experience

Ability to keep sensitive personal member giving information confidential (mandatory)
Self-motivated and a self-starter
Ability to work in a team environment with limited supervision
Excellent organizational skills
Good decision-making and problem-solving skills
Good oral and written communication skills
Good knowledge of computer technology

Part-time hourly
15 - 20 hours / week
The work schedule is based on the needs of the duties of the position.
Hourly Rate
$18.00 - $20.50 / hour – dependent on qualifications and experience
This position requires successful completion of a criminal background check and drug and alcohol screening.
